PROM – Short-Term Academic Exchange
ABOUT THE PROJECT
The programme “PROM – Short-Term Academic Exchange” is funded by the European Union under the project titled “Short-Term Academic Exchange as a Method to Improve the Quality of Education in Higher Education and Research Institutions” (Project No. FERS.01.05-IP.08-0218/23).
Objective: to enhance the skills essential for research and teaching-research roles among academic staff and doctoral students, both from KUL and abroad, through short-term outgoing and incoming academic exchange opportunities.
Implementation period: 1 October 2024 - 30 September 2025
Budget: 626 250,00 PLN
APPLICATIONS
Doctoral students and academic staff from KUL and other institutions, including those from outside the EU, are invited to apply for outgoing/incoming scholarships.

Objectives of short-term mobility (up to 3 types of activities):
- active participation in a conference held abroad (including, e.g. participation in a poster session)
- obtaining materials for a PhD thesis/scientific article
- participation in a summer/winter school
- taking measurements with the use of unique equipment, testing research equipment, or unique artistic instruments
- participation in short education forms such as courses, including intensive courses as part of the educational process), workshops, professional internships or industrial placements, study visits, including those conducted at businesses
- carrying out archive/library queries
- teaching
- participating in the preparation of an international grant application
We encourage you to review the Recruitment and Participation Regulations (download). NOTE: the complete application documentation must include the following:
- a project participation data form (preferably completed electronically), see Annex No. 1.
- a certificate from the KUL Doctoral School Secretariat confirming the applicant’s status as a doctoral student at KUL or at a foreign institution (depending on the direction of travel) – applicable to doctoral students. A certificate of employment at KUL or a foreign institution (depending on the direction of travel) – applicable to academic staff
- a certificate of language proficiency necessary for the mobility programme, provided in one of the following forms: an international certificate; a certificate from an institution confirming completion of a language course at the required level; a copy of a doctoral examination protocol certified as a true copy; or a candidate's declaration (no template provided)
- an original or copy of the acceptance confirmation from the host institution, such as an official letter or an email printout
- a self-assessment questionnaire on research and teaching competencies (BEFORE utilising the support forms in the project) – online (LINK)
The above documents must be completed in English (or Polish). For applicants with disabilities, the Project manager will determine the form of document submission appropriate to the type of disability.

Incomplete, illegible, or non-compliant documents, including those submitted after the deadline, will not be considered. The submission date refers to the date the documents are received by the Project office.

Due to the suspension of cooperation between the Government of the Republic of Poland and the Government of the Russian Federation under the Agreement on Cooperation in Culture, Science, and Education signed in Warsaw on 25 August 1993, as a consequence of the Russian Federation's aggression against Ukraine, individuals who are citizens of the Russian Federation, as well as institutions and entities based in its territory, are excluded from participation in the Programme.
